EVENT PROMOTER GUIDELINES AND CODE OF CONDUCT
Purpose
Strongman Corporation Canada is an National organization that promotes and provides events in the field of strongman. We believe in creating events for athletes in an environment that is free from judgment, harassment, and bullying.
We strive to create an event that is competitive, inclusive and safe for everyone to enjoy. We pride ourselves on looking out for all the athletes, coaches, referees, spotters, loaders, volunteers and spectators.
Our main goal is to popularize and promote Strongman in the world. SCC is committed to the advancement of its goals through respectful teamwork. Our teams start with our promoters, provincial and national chair members, referees, 1 volunteers and our athletes and spectators. Accordingly, the SCC requires adherence to these values and rules by the promoters, provincial and national chair members, referees, volunteers, athletes and spectators.
SCC requires that all members, affiliate members, participants, and those accompanying participants to activities, whether in-person or virtual, comply with the Code of Conduct as set out herein and as may be amended by SCC from time to time. Failure to do so may result in disciplinary action up to and including expulsion from membership and/or participation in SCC activities.
Please note once read and understood, let your provincial rep or SCC President know.
Meet Event Details:
Get into touch with your Provincial rep to ensure that there are no other contests that may be in the process of being scheduled. We do NOT want to have multiple shows in the same province at the same time. Discuss options on dates and confirm small details of sanctioning prior to announcing and how much time is needed to sanction prior to announcing their meet. It is not in the best interest of SCC to conflict on dates as this could result in a shortage of lifters, volunteers and spectators.
The promoter must submit an application. This is to be found on the SCC website (www.strongmancorporation.ca) This must be done at least 12 weeks prior to the event. Sanction Entry Form must be accepted prior to announcing the event. Sanction fee must be paid 6 weeks prior to the contest.
Determining and securing appropriate venues. It is important to keep in mind the size of the event you are holding. Promoters will need to determine the number of lifters, number of referees, volunteers, vendors (if applicable) and spectators that will occupy the venue.
Adequate equipment is needed for the event.
Ensure that you will have the appropriate number of volunteers needed for your meet. They will need to be reliable, capable and experienced. Volunteer names must be provided 14 days prior to the meet to your Provincial rep to ensure that the number will be sufficient. It is better to have too many volunteers than not enough. Volunteers are essential for your meet day. Without them, the meet may be delayed or not happen at all. NOTE: Ensure that enough male /female volunteers (officials) are available for weigh-ins
Event Liability Insurance
It is left up to the meet promoter to provide liability insurance, this is a REQUIREMENT that is non negotiable when holding an event through SCC. We require a minimum liability coverage of $1,000,000. Please send your provincial rep a copy of your insurance, as your meet will not be able to be held under the SCC without it.
Venue
SCC requires competitions to ensure they have adequate space for the following; lifting platform, warm up pit, referees, volunteers, athletes, spectators, administration table, vendors (if applicable) scoring system and lights are required.
Volunteers
Look for experienced people who understand the energy it takes to run a successful meet, and make sure you take care of them. It is highly recommended that your volunteers are fed and kept hydrated throughout the event by the meet director. We recommend after hosting an event to send each and every volunteer a special Thank you token in the form of a handwritten note or such to show them the appreciation we have for them. Remember, without your volunteers, your meet may be delayed or may not be able to commence.
Sponsors
These are an important part of our sport! They help make an event happen. With the help of sponsors, meet directors can provide athletes with a better experience in every aspect. It is important to remember that the sponsors are giving you something, and in return it is important to give them something. We recommend providing a framework of what your advertising will look like and how it will include them as sponsors. Whether it be through social media, radio, paid advertisement, logo advertisement on event t-shirts, logo distribution on back drops, event tickets, and announcements/ shout out at the event is imperative. Make sure you are true to your word in what you are willing to do for your sponsors. Create a lasting relationship. Sponsors are left up to the meet director to obtain. As Strongan Corporation Canada, upon paying your sanction show we will support you as a director with discounts/coupons for our website. We also don’t want to interfere with YOUR own relationships, but we will give you the option of a package that includes discounts/money off from Evolution Athletics Canada, Airwaav 3 &/or from our Strongman Corporation Canada shop. You can discuss that with Sam if you want to learn more !
SCC Membership
SCC Membership must be purchased at (www.strongmancorporation.ca) prior to the event. It will be left up to the promoter to ensure that all athletes have a current up to date membership with SCC Canada upon athlete checking in.
ScoreSheets
We have provided you with a scoresheet template to use at your event on our website. You can find that scoresheet beside the sanction fees on our website. Please ensure you send the scoresheet back within 5 days after the event. All the details all on our website. Please sign this document and send it back to your provincial Rep which ensures that you have read and understand the roles/ responsibilities of the Promoter.
FIRST AID - RESPONDERS
In compliance with our commitment to the health and safety of all participants and spectators at our events, and as part of our responsibility under the Canadian health and safety regulations, we require that a minimal number of trained First Aid Respondents be present at all events. The actual number required will depend on the size and nature of the event, but under no circumstances should this number be less than two. These trained individuals should be readily identifiable and available throughout the duration of the event to provide immediate first aid care in the event of an injury or illness. As a promoter, it is your responsibility to coordinate this provision in accordance with the Canadian Red Cross or St. John Ambulance guidelines, and to ensure that the Respondents have the necessary skills, qualifications, and equipment to effectively respond to any first aid emergencies that may arise. Please refer to the appropriate Canadian health and safety legislation and guidelines for more detailed information and specific requirements. We appreciate your cooperation in prioritizing the safety of our participants and spectators."
